Administrative Assistant

The Administrative Assistant provides essential administrative and operational support to ensure the smooth functioning of the Office and compliance with Antonine University (UA) policies, processes, and procedures.

 

Acting as the main point of contact for faculty, staff, students, and visitors, the Administrative Assistant coordinates various activities and services, manages communication and documentation, and contributes to the efficient delivery of the Office’s objectives.

 

Key Responsibilities

  • Manage the Office’s schedule and calendar, handle calls, welcome visitors, and respond to administrative inquiries.
  • Serve as the primary administrative liaison between the Office, other UA departments, and external stakeholders.
  • Coordinate meetings, conferences, and events, including scheduling, logistics, agenda preparation, and facility arrangements; take minutes and follow up on action items when required.
  • Monitor and respond to incoming correspondence (mail and email).
  • Prepare and maintain administrative records, reports, letters, and other documents.
  • Oversee routine office tasks, such as:
    • dispatching internal files and documents to relevant units;
    • requesting maintenance or technical support when needed.
  • Perform data entry and maintain accurate databases and records.
  • Carry out other administrative duties as assigned.

 

Basic Qualifications

  • Degree: Bachelor’s degree in Management, Business Administration, or a related field (Master’s degree is a plus).
  • Experience: Minimum 2–3 years of relevant professional experience. Experience in a higher education institution is preferred.

 

Skills and Competencies

  • Excellent interpersonal and communication skills (oral and written).
  • Strong organizational, analytical, and multitasking abilities.
  • Proven problem-solving skills and attention to detail.
  • High sense of confidentiality and discretion.
  • Proficiency in Microsoft Office and other digital tools.
  • Accurate and fast keyboarding skills.
  • Fluency in Arabic, English, and French.

    - Monday to Friday: 7:45 AM to 4:15 PM
    - Saturday: 8:00 AM to 12:00 PM (2 Saturdays per month)
